Legal Assistant
Full-Time
The Legal Assistant position is ideal for someone who thrives in a fast-paced environment, has a proactive mindset, and is detail-oriented. You will play a critical role in supporting attorneys by managing legal tasks, overseeing case progress, and ensuring the efficient operation of our office. Key Responsibilities Case Management: Assist in managing personal injury cases from start to resolution, ensuring progress is timely and clients are kept informed. Supervise junior legal staff to ensure high-quality work is completed on time. Document Preparation: Draft, file, and maintain legal documents, including demands, petitions, discovery responses, motions, and settlement agreements. Pre-Litigation Support: Initiate files, distribute letters of representation, facilitate client treatment, and monitor readiness for litigation or demand. Client Interaction: Communicate with clients to gather information, provide updates, and address inquiries under attorney guidance. Scheduling & Calendaring: Manage appointments, deadlines, court hearings, and depositions. Correspondence & Communication: Communicate with attorneys, opposing counsel, experts, witnesses, and other parties to ensure deadlines are met and all stakeholders are informed. Trial Preparation: Prepare trial materials, including notebooks, exhibits, and witness schedules. Qualifications Education: High school diploma required; some college preferred. Experience: Familiarity with personal injury law, including torts, negligence, and liability. Technical Skills: Proficiency in Microsoft Office Suite; experience with Clio or other legal case management software is a plus. Soft Skills: Strong written and verbal communication skills, exceptional attention to detail, and outstanding organizational abilities. Language Skills: Fluency in Spanish is strongly preferred. Work Style: Ability to multitask, prioritize, and work effectively in a fast-paced environment. Compensation & Benefits Hourly Pay: Starting at $19.00, based on experience. Hours: Full-time 40 hours per week. Schedule: Monday to Friday, 8-hour shifts. Benefits: Health, dental, and vision insurance, free parking. Receptionist
Part-Time
The part-time receptionist position offers a unique opportunity for individuals looking to balance work with other commitments, such as college or family responsibilities, while contributing to a dynamic and energetic legal environment. As the first point of contact for clients and visitors, you will play an essential role in ensuring our office runs smoothly and professionally. Your efforts will help foster a welcoming and organized environment for our clients and team members. Key Responsibilities Client Reception: Greet clients and visitors with professionalism and warmth, ensuring they feel valued and comfortable. Phone Management: Operate a multi-line phone system, directing calls to the appropriate departments or staff members. Mail Handling: Sort and distribute incoming mail and packages; prepare outgoing correspondence and deliveries. Client Communication: Assist in keeping clients informed by fielding questions, sending reminders for appointments or events, and distributing trial notices. Appointment Scheduling: Coordinate meetings for attorneys and clients, managing conference room bookings and ensuring meeting spaces are ready. Administrative Support: Assist with tasks such as filing, typing, photocopying, and preparing materials for hearings and trials. Reception Area Maintenance: Keep the reception area clean and organized, ensuring it reflects the professionalism of the firm. Office Supplies Management: Monitor inventory levels and reorder supplies as needed. Inquiry Handling: Address client and visitor inquiries courteously and efficiently, escalating issues when necessary. New Client Intake: Collect initial information from prospective clients, input data into the firm’s database, and schedule intake meetings with attorneys. Required Skills and Qualifications Fluency in Spanish is required. Exceptional communication skills, both verbal and written. Strong organizational skills with the ability to multitask in a fast-paced environment. A proactive and team-oriented attitude. Basic proficiency in Microsoft Office Suite (Word, Excel, Outlook) or similar software. Previous experience in customer service or administrative roles is preferred but not mandatory. Compensation & Benefits Hourly Pay: Starting at $16.50 based on experience. •Hours: Part-time, approximately 25 hours per week. •Schedule: Monday to Friday, in-person. •Benefits include a referral program.
